In June 2020, Information Services began disabling any Active Directory (AD) account on the providence.org network domain not used in the last 90 days. The policy was modified and will be reactivated on September 23.
The anticipated effect is minimal, but caregivers who have been on leave and have not been logging into the network could be affected. This policy also applies to vendors, partners, and other third parties. Disabling inactive accounts has been PSJH policy but will now be more strictly enforced.
Accounts, except those noted as exceptions, with no log-in activity for 90 days or more will be:
- Disabled for 12–months (one year), which means you will not be able to log in.
- During that 12-month period, the account can be reactivated by calling the IS Service Desk.
- After 12–months, a disabled account will be deleted and permanently unavailable. No accounts will be deleted before Q4 2020.
Exceptions to the policy:
- Providers are temporarily being excluded from this policy. Providers are being identified as a caregiver with an active provider persona, an Epic SER template, or for SJH (Meditech users) through SAR legacy data. This will ensure the majority of our providers are excluded from deactivation.
- The policy for caregivers in the below groups will be extended to 180 days (not 90 days). Note that this applies to the caregivers’ secondary account that is used to access ServiceNow HR.
- Providence High School
- University of Providence
Any account that is identified to be disabled will have an email sent to both the impacted caregiver and their core leader one (1) week ahead of the planned date of account disablement. The caregiver will need to log-in to their Epic or network account prior to that date to remain active.
Disabled accounts will no longer accept log-in credentials. If you suspect your account has been disabled, and it is within the 12-month window prior to deletion your account can be reactivated. Please contact the IS Service Desk at 844-92-AskIT (844-922-7548) for reactivation.
