Genesis-Related Impacts for Core Leaders with Active Contractors and Agreements in IQN/Beeline

In anticipation of the Genesis go-live, we want to make sure that core leaders and our vendors with active contractors and agreements in the Providence IQN/Beeline application are prepared for the impacts. 

If you manage a contractor or professional services agreement in the IQN/Beeline application, please review the following to understand how the Genesis go-live impacts you and your contractor(s).

Key dates

 6/20-7/4/2022 – Freeze period for new requisitions, offers, targeted work orders or agreement in IQN/Beeline

6/27-7/4/2022 – Blackout period for contractor timecards and milestone payment requests in IQN/Beeline

  When Who What Ask
Pre Go-Live 6/20-7/5 Hiring managers No new requisitions, offers, targeted work orders or agreements can be entered for approval after 6/20.  IQN will reject any new requests or amendments submitted between 6/20 and 7/4 Please plan ahead and get your requests entered for approval BEFORE 6/20.  If you need to correct an error entered on an in-process req, etc during this time period please email the Beeline Support Team and we will document the issue and determine the right time to make the correction
Pre Go-Live 6/27-7/3 Hiring managers and vendors Blackout period during which all active assignments will be recreated to capture the CAC values.  All active requisitions and agreements cost allocation code values will be updated on behalf of the manager using the crosswalk provided by finance. Be aware of the CAC update activity.Understand that during this blackout period no new requests, amendments timecards or milestone payment requests can be submitted.
Pre Go-Live 6/26 Contractors, hiring managers and vendors All timecards for work performed up to 6/26 have to be approved by end of day 6/26.  Contractors will not be able to submit their time into IQN for time worked from 6/27-7/4. Vendors will not be able to request Milestone payments from 6/27 – 7/4. Hiring managers to approve timecards by end of day 6/26.  If a contractor fails to submit a timecard or a manager fails to approve a timecard for time worked before 6/26 the time will then need to be invoiced by the vendor outside of the IQN application per AP’s invoicing process. 
Post Go-Live 7/5 Contractors and hiring managers Contractors will be able to log into IQN and back enter their timecard for time worked from 6/26 to 7/4.  Contractors to back enter timecard for time worked from 6/26 to 7/4.Managers must approve these timecards by the invoice cutoff date of 7/7.
Post Go-Live 7/5 Vendors Vendors will be able to enter Project Agreement Milestone Payment requests starting 7/5 Managers must approve these milestone payment requests by the invoice cutoff date of 7/7.
Hyper Care 7/5-7/8 Hiring managers Beeline team will be holding office hours. Sign up to join an office hours session by visiting our site – Beeline/IQN SharePoint  > Training  > Select office hours date/time that works for you and save it to your calendar. 

We encourage all hiring managers to take the offered Genesis trainings at Genesis SharePoint to learn the new cost coding structure. As of July 5, all new requests in IQN/Beeline will require use of the new cost coding structure and values.
