The Application Access Dashboard and IS Playbook are two new tools designed by IS Administrative Technology to help hiring managers, ministry operations and the askIT IS Service Desk prepare new caregivers for Day 1. This supports our IS strategic priority of Day 1 and Early Success improvements to the end-to-end caregiver onboarding process, reducing effort and time required and simplifying the systems and processes that support onboarding.
The simple, self-service tools ease the way by helping users understand the application access provisioning process, quickly view access status, and easily escalate missing access. The tools were rapidly developed in just four to six weeks, from idea to pilot by Administrative Technology team in close partnership with the IS strategic partners Ministry Operations in southern California to support the significant hiring surge during COVID-19.
Additionally, the tools were developed to resolve pain points, including a lack of transparency of application access status, no single point of contact for escalations, and a lack of understanding of the end-to-end HR and IS process as it pertains to onboarding.
User feedback has been positive and has continuously fueled improvements to the dashboard. The team is proud to say, “The tool was built by the user, for the user, and we attribute our success to the collaborative support of the operational leaders.”

Rollout and next steps
The pilot of eight users at Mission Hospital in Mission Viejo went live in February 2021. Since then, the tool has been rolled out to over 1,800 users in Southern California, Northern California, Alaska, Washington, and Montana, with additional rollouts planned in Oregon and Texas over the next six to eight weeks.
