Last month, we announced the rollout of PSJH’s strategic initiative, called OneTeam, to update and modernize our enterprise-wide Collaboration platform. The initial phases of the OneTeam launch included migration of Shared Services caregivers to a new suite of tools for email, internal collaboration, and file sharing. We are pleased to report that, while some groups are still progressing through the transition, those caregivers that participated in the October migration waves have successfully been moved to new tools in the Office 365 suite, such as Outlook online email and OneDrive cloud storage.
Today, we are announcing the next major component of the OneTeam solution stack, which will provide PSJH caregivers with a best-of-breed solution for instant messaging, chat and small-group audio/video conferencing. Beginning this week, Cisco Webex Teams and Webex Meetings will be rolled out in phases to caregivers across Shared Services.
Some at PSJH have used previous versions of Cisco Webex and Spark, and will be excited by the expanded capabilities. Those who are using Webex Teams for the first time will be provided detailed instructions and training both before and during the onboarding process. The following general tool descriptions offer some background:
- Webex Teams is a collaboration tool that allows persistent chat, private work spaces/conversations/video calls for designated teams and the materials they use, and a tie in to Webex Meetings for larger activities. It also allows communication with Webex Teams accounts outside of PSJH to expand your team environment as needed.
- Webex Meetings is similar to Skype for Business/Lync Meetings and is being deployed into Outlook to provide the ability to schedule meetings with either tool. Meetings scheduled via Webex Meetings will provide expanded capacity to reach internal PSJH caregivers, as well as external individuals who use the public cloud to join the meeting via a browser. Webex also expands PSJH caregiver mobility with the ability to connect from remote devices.
To ensure a smooth and efficient launch of Webex, Shared Services caregivers will be given access to the tool in scheduled waves starting this week. You will receive a communication from the PSJHISOneTeam email account 3-7 days prior to receiving Webex, with information about how to use the tool and what impacts it may have on how you currently collaborate. In general, caregivers will have access to their present chat and conferencing tools (e.g., Spark, SJH WebEx, Microsoft Teams, etc.) and Webex for a period before Webex ultimately replaces those existing tools. Caregivers will have adequate opportunity to transfer workflows before legacy applications are no longer available, but please note that Lync users will continue to have access to the tool to communicate with clinical caregivers.
We are confident you will see the benefits and value Cisco Webex provides our organization. Still, we understand for many this will result in changes that require adjustments in work habits and processes. Several solutions were evaluated over months of planning, and Cisco Webex emerged as the ideal solution to meet PSJH’s current and future Collaboration requirements.
